What is EvaExam?

EvaExam is a software with which — in decentralised sub-areas audits are created and evaluated electronically (online and paper-based). It can also be used for carrying out paper-based or online learning status checks.

Instructions for use for EvaExam (examination)

The participation of students in level checks, which are not considered to be exam performance, is voluntary.

  • You must be at least 16 years old.
  • Security incidents, suspected vulnerabilities and misuse of the system must be reported immediately to it.security@verwaltung.uni-muenchen.de.
  • You may not exchange, process or store any personal data of special categories (including health data, political or sexual orientation data...).
  • You are obliged to comply with all legal provisions, in particular copyright and data protection law.
  • When linking to external websites, you must check that these do not contain illegal content and that the link setting also does not violate applicable law, e.g. by circumventing protective measures.
  • You may not post any legal, pornographic, obscene, defamatory, defamatory, offensive, threatening, ethnic or racist content in EvaExam.
  • The setting of content for the purpose of advertising of any kind, as well as the transmission of information containing malware, e.g. a virus, an error, manipulation or similar harmful elements, is also prohibited, as is the setting of content that damages the reputation of the LMU or the clinic of the University of Munich (KUM).
  • Furthermore, you must comply with the applicable rules for online exams issued by your faculty.

Data protection information for the use of EvaExam

EvaExam is a software with which - in decentralised sub-areas audits are created and evaluated electronically (online and paper-based). It can also be used for carrying out paper-based or online learning status checks. The participation of students in level checks, which are not considered to be exam performance, is voluntary.

  • In each section, separate examinations and level checks are drawn up for which, if they differ from these general data protection notices, additional data protection notices must be drawn up.

The purpose of data processing is the creation of sub-areas and the recording of the corresponding sub-area administrators and, if necessary, the creation of auditors. Furthermore, the examiner collects personal data of the examiners. These are used to clearly assign the test specimen to the test. The service can only be used within the scope of your membership of the LMU. Data processing is not carried out for purposes other than those specified or permitted by law (e.g. for internal verification of security systems and to ensure internal network and information security pursuant to Article 6(1) of the BayDSG). We only process the personal data that you have provided to us or which we have received about you in the course of our activity at LMU (Art. 4 para. 2 BayDSG). There is no performance or behavioral control based on your use of EvaExam — beyond participation in exams or voluntary participation in learning status controls.

We process your data in accordance with and on the basis of the General Data Protection Regulation (GDPR), the Bavarian Data Protection Act (BayDSG) and the other applicable data protection regulations.

The processing of personal data for the use of EvaExam takes place - within the framework of voluntary use - in accordance with Article 6(1)(a) DSGVO (consent) as well as in the context of the performance of tasks in the public interest (service tasks) in accordance with Article 6(1)(e), paragraph 2, 3 GDPR in conjunction with Article 4(1) of the BayDSG, § 4 Ordinance for the testing of electronic remote testing at the universities of Bavaria (Bayerische Fernprüfungserprobebungverordnung, BayFEV).

In EvaExam the following personal data are processed:

For the auditors

  • Official contact details (name, first name, e-mail address, telephone number, institution)
  • Name additions
  • Gender
  • Academic degrees
  • Activity log
  • Contact person
  • LMU user ID
  • Log data
  • Activity log
  • Rights role concept (e.g. access powers)
  • Faculty/Institute affiliation

For the test participants (depending on the respective test)

  • First and last name, name additions
  • Matriculation number of the subject (or another internal format of the unique participant ID)
  • Answers to exam questions
  • LMU e-mail address
  • Test results in the sense of the score achieved
  • Log data

For the use of the EvaSys Media Library, platform coovi

  • First name
  • Last name
  • E-mail address

For the administrators

  • Account name
  • Log data

In order to enable the use of EvaExam in accordance with the above-mentioned purposes, personal data must be transferred to other institutions:

  • The department (sub-area) carrying out the relevant audit
  • The manufacturer Electric Paper, if necessary in case of support

As part of the data transfer, the data protection requirements are complied with. The data transfer takes place within the scope of the GDPR or to countries with an appropriate and recognised level of data protection. There is no unauthorised transfer of data to a third country or to an international organisation.

EvaExam uses so-called cookies (text files), which are stored on your computer and which are technically necessary for the use of the service. These are session cookies so that the access data does not have to be re-entered every time you access it. In the case of technically necessary cookies, consent is not required.

The stored data will be processed as long as and to the extent necessary for the respective purpose of data processing in the context of the use of EvaExam.

a) Examination and evaluation of examinations:

For paper inspection sheets and electronic scans, as well as corrections or evaluations (in EvaExam’s terminology: Examination reports) the retention periods laid down in the respective examination and study regulations, i.e. in principle 5 years.

b) In the context of learning status checks:

No personal data is collected as part of anonymous learning status checks. The deletion of the data collected here is at the respective discretion of the examiner.

In the context of non-anonymous learning status checks, the data shall be kept for the period of the semester during which the learning status control was carried out and — unless it is provided automatically — to provide students upon request. The data should be deleted no later than 5 years after completion or expiry of the normal study period.

With the withdrawal from the LMU, the EvaExam account in the roles of examiner and administrator and all associated data will be deleted and deleted.

Audit preparation and evaluation

For paper inspection sheets and electronic scans, as well as corrections or evaluations (in EvaExam’s terminology: Examination reports) the retention periods laid down in the respective examination and study regulations, i.e. in principle 5 years.

Learning Level Controls

No personal data is collected as part of anonymous learning status checks. The deletion of the data collected here is at the respective discretion of the ‘auditor’. In the context of non-anonymous learning status checks, the data shall be kept for the period of the semester in which the learning status control was carried out and — unless it is provided automatically — to provide students upon request. In principle, the data should be deleted 5 years after the end of the normal period of study or completed studies (if known).
